Privacy Policy

In short

Elara is an AI receptionist operated by Cerdified LLC. We answer calls for property-management companies, and we send only operational and emergency texts, never marketing. Calls are recorded with disclosure on every call. We don’t sell your information, and text-messaging opt-in data is never shared with anyone except the provider that delivers the message.

1. Who we are & what this covers

Elara is an AI receptionist for residential property-management companies. We answer inbound calls on behalf of our clients, triage maintenance requests, dispatch emergencies to on-call staff, assist prospective renters and book tours, and route owner and vendor messages. This policy explains what information we collect, how we use it, and how we handle text-message (SMS) communications.

2. Information we collect

  • Contact details of the people our clients designate (staff, on-call personnel, owners, vendors): name, phone number, email, role.
  • Caller informationwhen someone calls a client’s line: phone number, the content of the call, and a recording and transcript of the call.
  • Property & account data provided by our clients or their property-management systems: units, residents, work orders, balances, schedules.
  • Service/usage data: call metadata, timestamps, and system logs needed to operate and secure the service.

3. How we use information

  • To provide the receptionist service: answer calls, identify callers, book tours, triage maintenance, and create work orders.
  • To dispatch emergencies and operational notifications to the correct on-call person, and to confirm on-call coverage.
  • To maintain, secure, audit, and improve the service.
  • To comply with legal obligations.

We do not sell personal information, and we do not use it for third-party advertising.

4. SMS / text messaging

Program purpose. Elara sends transactional and operational text messages only. For example: emergency-dispatch alerts to on-call maintenance staff, on-call notifications, and periodic on-call-coverage confirmation requests. We do not send marketing or promotional texts.

Who receives texts & consent. Recipients are the staff, on-call personnel, owners, and vendors designated by our clients. Consent to receive operational/emergency text messages is obtained at onboarding (and/or when a person is added as a contact) and is recorded by the client. By providing a mobile number for these purposes, the recipient consents to receive the operational/emergency messages described above.

Message frequency varies based on operational and emergency activity. Message and data rates may apply.

Opt-out & help. Recipients can opt out at any time by replying STOP to any message; we will send a single confirmation and then stop sending non-emergency messages to that number. Reply HELP for help, or contact hello@elaradesk.com. Carriers are not liable for delayed or undelivered messages.

Mobile data sharing (required disclosure). No mobile information (including text-messaging originator opt-in data and consent) will be shared with third parties or affiliates for marketing or promotional purposes. The data-sharing categories described in Section 6 below exclude text-messaging originator opt-in data and consent; that information is not shared with any third parties except the service providers strictly necessary to transmit the messages you have asked us to send.

5. Call recording & monitoring

Calls handled by Elara may be recorded and transcribed to provide and improve the service. We operate in jurisdictions including all-party-consent states such as Maryland; callers are notified at the start of every call that they are speaking with an automated assistant and that the call is recorded.

6. How we share information

We share information only with service providers (subprocessors) that help us operate the service, under contracts that limit their use of the data to providing services to us, never for their own marketing. These include, for example: our telephony/voice-AI provider, our messaging provider, our database and hosting providers, and our clients’ property-management systems. We may also disclose information to comply with law or to protect rights and safety. As stated in Section 4, text-messaging opt-in data and consent are excluded from all sharing except the messaging provider needed to deliver your messages.

7. Data retention & security

We retain information for as long as needed to provide the service and meet legal obligations, then delete or de-identify it. We use reasonable administrative, technical, and physical safeguards to protect it.

8. Your rights & choices

Depending on your location, you may have rights to access, correct, or delete your personal information, or to opt out of certain processing. Contact us at hello@elaradesk.com to exercise these rights. To stop text messages, reply STOP.

9. Changes

We may update this policy; we will post the revised version here with a new effective date.
